How we do it - Seven (7) Point Promise

We are different where it matters most to customers - in their experience of us.  Our experience and research over many years has shown that smal/ mediuml businesses have seven (7) main complaints when it comes to working with a professional services firm such as ours. We have reverse engineered our business to give you the best possible customer experience. We have strict quality standards, policies and procedures to address these frustrations:
1. They don't return my calls/ emails on time.
2. They miss things, make mistakes or take too long.
3. I don't understand what they are saying.
4. They don't suggest how I can do things better.
5. I can't see the value for money in what they do.
6. I don't feel comfortable talking to them.
7. I never know how much it's going to cost me until after its done then pay in 14 days.

1. Response Time - We know that when our clients contact us it is for something important. However, it is not always possible to respond to calls/ emails when we receive them. Hence, we have a strongly enforced policy to return calls and emails within the next business day. If this doesn't happen clients should let management know. Clients are advised to please communicate if it is something urgent and requires immediate attention.

2. Quality Assurance - We take a systematic approach to everything we do from accounting and tax to business and financial advice. We have numerous defined policies, processes, systems, checklists and supervision to ensure work is done thoroughly, mistakes are picked up during internal reviews and we complete your work in the allocated time.

Here are some examples of what we do in the accounting and tax areas.  At the beginning of the financial year we schedule your accounting work so you know in advance when you need to send us your file so we can do the previous year's accounts and tax returns. We don't sit on your accounts for ages; we guarantee an eight (8) week turnaround, provided we have all the information so you can find out quickly, your financial performance, position and tax liability.

Book Keepers are not accountants or tax agents - they are great for the data entry but they don't always account for things the right way. This affects your profit and loss, balance sheet and tax liability. We thoroughly check your accounts to make sure mistakes don't exist using our 25 point accounts checklist. Once we have "cleaned up" and finalised the accounts, we roll it over and send it back to you so you can resume work in a matter of days. Our method saves time on the "to and fro" to match our final accounts with your working accounts. We also have numerous checklists for business advisory and financial planning.

In addition there are up to two pairs of eyes that review your work, the accountant that prepares it, and the partner that signs off on the work. Each has a different level of skill and knowledge which results in a better quality of finished work refined in the process. We deliver what we promise.

3. Simple Terms - We make a point to explain all complex matters in as simple, easy to understand terms as possible.  Typical accountants and advisors have unfortunately developed a bad reputation for using "buzz words" and technical "jargon" to explain concepts and practices in business.  Common everyday business people find this unnecessary, alienating and intimidating.

4. Proactive Approach - We have a number of solutions that proactively helps businesses manage their finances (Money Manager), grow their business (Money Maker), minimise their taxes (Tax Planning) and provide a wholistic solution to businesses (Winner Connection).

We encourage all our clients to engage these services as it gives us a structure to get involved with your business and make suggestions on how you can make more money and better manage your finances. At a minimum we recommend all our business clients get an annual financial review and tax planning meeting.

5. Practical Solution - People don't care as much about price as they do about value.  They are happy to pay if they can see they have getting many times the benefit returned to them.  Often the "problem" is that the clients are not clear on the specific measurable outcome/ result they are going to get or what is involved with producing a particular outcome/ result.  We have made it our duty to explain what we are going to do and what you will get out of it.  At the start of any job/ project we outline the Scope of Work which itemises exactly what we will do, what you are going to get and what it means for you as the client. Our highest priority is to make sure the solution we offer WORKS! Hence, we realise that our solution can't be a standard delivery but has to be made with the clients' needs in mind.

 

6. Personal Care - Many advisers and accountants don't get "emotionally involved" with the clients situation because it is just "strictly business".  Accountants are  known for being introverted and lacking in communication, interpersonal and social skills making them unapproachable.  They just do the work and they don't bother to ask questions, to go that extra step in the best interest of the client.  They don't stop to think for the client and understand the client's situation.  A classic example is a simple question to help a client maximise their tax deduction; did you work from home? Maybe we can claim a portion of the rent, electricity and internet. We provide clients with an Accounts/ Tax Preparation Pack which outlines what you can claim, and a checklist of what we require to do their accounts and tax returns. In addition we ALWAYS ask questions, because we care and we want to know.

Many financial planning firms are so focused on products, meeting budgets and who pays the best commissions that they don't bother to evaluate all the options and do what's best for the client. You will see from our testimonials that our clients know we have their best interest at heart.

7. Price in Advance/ Payment Instalments
On agreement to use our services, you choose the solutions you want and we will give you a fixed price quote for the Scope of Work selected. This price will not change provided the scope of work does not change regardless of how long it takes us to complete the job. We require the work to be provided to us to a particular standard eg. bank reconciled. If the work is not provided in the agreed format that will change the price of which you will be informed and a new price agreed. If once we start the job and discover that the scope is actually beyond your initial brief that will also change the price. However, the important thing here is that we are completely transparent and you will know up front how much you can expect to pay. To make it even easier for cash flow in your business we direct debit the fees over several months.
